CONTENT SUBMISSION GUIDELINES

SETTING UP YOUR CONTENT DOCUMENT

We require your content in a Microsoft Word document. Download our Website Content Document to get started. It contains page samples to help you understand what we need. Just remember to remove the sample data before sending it to us.

Follow the steps below when preparing your document. Don’t hesitate to contact us if you have any questions or concerns.

1. MAKE SURE IT’S FINAL

Nothing slows down the process like continually making changes from multiple documents. Small tweaks here and there are fine, but creating new pages or moving/adding entire sections around takes time that we will charge you for. Finalize your content before you send it and you’ll avoid headaches and additional costs later in the process.

Important points to follow:

  • All textual content must be in an editable, copy and paste format. Do not add images with text in them.
  • Be sure to proofread your content. We can provide proofreading and editing services at an additional cost.
  • Only include your site content and relevant notes, nothing more.

2. START EACH WEB PAGE ON A NEW PAGE

This might seem insignificant, but each page on your site should start a new page in your document. A website is broken up into pages, so it makes sense for the content document to be divided up the same way. This makes it much easier to scan through when we’re looking for a specific page.

3. BE CONSISTENT

Keep the styling of all element types the same. Style all headings to look the same. Style all body text to look the same. Style all lists to look the same. Consistency goes a long way, especially in large documents.

4. USE TWO COLORS MAX

Use a dark color for everything (either black or dark grey) and a brighter color for your notes (eg. red). That’s all you should need. Deciphering someone else’s color scheme takes time. If you’re content document needs a legend or a key, something is definitely not right.

5. DON’T TRY TO BE A DESIGNER

All we need is your text and notes. Leave the design to us, that’s what you are paying us for. If you’re struggling to describe an element – link to an example of it or give us a call and we’ll talk it over.

6. IMAGE GUIDELINES

Photos and images for your site must be in a digital format. We accept JPEG (in the highest resolution and file size available) for photos and we prefer graphic image files (this includes your logo) be in a vector format AI or EPS, PNG with transparent background.

To ensure your website looks its best, please consult with us before purchasing any stock photography or graphics. We need to ensure images are of good quality, fit the allotted space, and compliment your website’s overall visual design.

Please do not add photos/images to the body of an email or Word document as this affects image quality. Send images via email as an attachment or use a cloud-based tool like Dropbox or Google Drive. If you plan to use one of these services, please grant access to .

7. PDF FILES

Use PDF Files Not Software Files. There may be times when your organization may want to link to a software file such as a company brochure or an annual report. Any software file should be in a PDF format. A PDF (Portable Document Format) file is a universal format that anyone can view. It will look the same on a screen and in print, regardless of the display device or printer used, and regardless of what software package originally used to create it. Most software programs have the ability to export to a PDF format.

8. VIDEO FILES

We recommend you post videos to YouTube, by doing so you gain Search Engine Optimization (SEO) benefits, and reduced development costs. We will need the URLs to embed the videos on your website. If you like, we can create a YouTube Channel for you and post your videos at an additional cost.
